This position participates in the department accounting area in the School of Physics and Astronomy. You will report to the Executive Accounts Specialist and be responsible for assisting him with the duties listed below.
Daily Duties
Sort mail, check and order liquid nitrogen and liquid helium as needed. Log in deliveries and notify recipients. Ship out packages. Help faculty, staff and students with supplies and large photocopying jobs. Sit in the main administrative office and act as receptionist and answer phones directed to the department head and administrative staff. Run errands. Other related duties as assigned by your supervisor or the Finance Administrator.
Monthly Duties
Assist with the production and distribution of monthly grant expenditure reports. Reconcile account strings and track down missing document copies. File.
Monthly Charge Outs
You will work with the Executive Accounts Specialist to get the monthly stockroom, federal express, liquid helium and machine shop charges into a format acceptable for central upload or entry by the Collegiate Financial team. Follow up and make sure charges get approved and posted to the general ledger.
The hours for this position are flexible, up to 20 hours per week between 8:00 a.m. to 4:30 p.m Monday through Friday with preference given to candidates that can work in the early afternoon due to the mail sorting requirement. The starting hourly rate will be $10.00 and you will need to turn in time cards.
Required: High school graduate or equivalent. One year professional office experience or educational training beyond high school. Experience with PC computer systems, Microsoft Word and Excel. Familiarity with basic office equipment (fax, copier). Attention to detail. Punctual and reliable. Excellent communications and problem solving skills. Ability to work independently and efficiently.
Preferred: Accounting courses and/or experience.
